Key Responsibilities:
  • Maintain proper office filing & archiving system (soft & hard copies)
  • Follow up on Expense Approval process to ensure proper documentation and requisite approvals are in place
  • Monitor and track expenses and ensure timely invoice processing by the managers
  • Assist in updating SOPs
  • Perform finance administration tasks such as raising POs & GRs, SAP system POR requests, end-to-end support, finance GR administrative work, and procurement of all vendor services
  • Assist in vendor contract renewal, vendor creation processes, updating vendor details and contact information
  • Support sourcing & procurement activities, including preparing quotations for client submission
  • Collaborate with departments such as Legal, Finance, Engineering & Operations, and Human Resources for procurement activities
  • Assist site team in monitoring and compiling data on pantry supplies, chemical waste collection, cleanroom laundry reports, etc.
  • Track and monitor stock to match invoices with orders
  • Support ad-hoc tasks as assigned by the manager, which may evolve over time
Qualifications:
  • Proven experience in an administrative role, preferably within a corporate environment
  • Excellent organizational and time-management skills, with the ability to prioritize and meet deadlines
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), email tools, and relevant applications
  • Strong verbal and written communication skills for professional interaction
  • High attention to detail and accuracy
  • Ability to work independently and as part of a team, demonstrating flexibility and adaptability
  • Strong problem-solving skills and proactive issue resolution
  • Discretion in handling sensitive and confidential information
