Job Description
UBOs, Trusts and Family Office Responsibilities
- Serve as the primary liaison between UBOs, trustees, and corporate secretaries.
- Assistance on trust structure matters.
- KYC and personal documentation requests from UBOs; ensure proper certification and delivery.
- Support dividend distributions and compliance matters.
- Attend trust-related meetings and convey UBO concerns, interests, and instructions to trustees.
Research & Development / Projects
- Coordinate and track internal R&D projects and external collaborations (Singapore and overseas).
- Support development of apparel and footwear materials, ensuring timely delivery of milestones.
- Prepare meeting minutes, project updates, and status reports for management.
- Participate in research-related discussions and planning activities with cross-functional teams.
- Assist with documentation and submission of external research projects.
- Oversee procurement processes for equipment, chemicals, and services related to research and operations.
- Coordinate with vendors, negotiate pricing, and track delivery timelines.
Legal and Corporate Administration
- Arrange AGM/EGM document signings for Directors and Shareholders.
- Coordinate with cosecs for documentation, audit, and reporting.
- Assist with notarization, authentication, and apostille of documents for legal and regulatory purposes.
- Support compliance with bank KYC requirements and Trustee for companies and personal accounts of Shareholders and UBOs.
- Liaise with legal and finance teams on documentation, budgets, and audit requests.
Others Responsibilities
- Assist UBOs and Directors with ad hoc personal requests and related documentation.
- Organize internal document flow, including scanning, uploading, and managing electronic records.
- Coordinate payment requests, legal correspondence, and mail handling.
- Ensure confidentiality, discretion, and integrity in handling sensitive documents and information.
Requirements:
- Tertiary degree or diploma in any discipline.
- Minimum 3 years of relevant working experience.
- Excellent verbal and written communication skills.
- Able to speak fluent Russian as there is a need to liaise with Russian speaking counterparts.
- Positive attitude towards changes, expansion and growing MNC culture.
- Strong leadership and good team player.
- Self motivated, hard working, responsible, willing to learn and to face new challenges.
- Ability to work under pressure with tight deadlines & able to work independently.
- Working Hours: Monday to Friday, 10AM to 7PM.
- Working Location: Central.
