Job Responsibilities

· Assist in maintaining physical and digital personnel records, including employment contracts.

· Update internal databases with new hire information and ensure data accuracy.

· Implement and monitor the automated hiring process - Check Zapier regularly.

· Support all recruitment activities, including posting and removing job ads.

· Schedule job interviews and liaise with candidates as needed.

· Assist HR Manager in MOM work pass administration for foreign employees.

· Assist in the onboarding and exit clearance process of employees.

· Handle claims, including employees’ and directors’ reimbursement.

· Administer training programs, both internally and externally, when required.

· Provide administrative support to ensure the smooth running of the office and its resources.

· Assist with filing, scanning, and printing of documents for the office and company facilities.

· Collaborate closely with managers to implement policies aimed at attracting, retaining, and motivating employees.

· Execute business plans, organize logistics, materials, and manpower to achieve business outcomes.

Clinic & Staff Support Service - Respond promptly to clinic operations’ needs, ensuring the efficient

operation of support services. Manage equipment requirements, including maintenance and

troubleshooting when necessary.

· IT Support & Access Management - Troubleshoot technical issues and manage access credentials

for various systems.

· Staff Interaction and Facilities Management - Visit clinics to engage with staff, fostering open

communication and addressing any concerns or feedback.

· Employee Reviews & Appraisals - Conduct monthly staff appraisals and performance reviews,

prepare necessary documentation.

· Implement Process Automation and Integrations: Zapier, ChatGPT, Chatbot, Plugins, etc.

· Perform other ad-hoc duties as assigned.

Ideal Candidate
  • Minimum Bachelor’s degree from reputable universities preferably in Business Administration and Health Sciences.
  • 2 years of relevant experience in service/hospitality/healthcare/retail industry, are welcome to apply.
  • Proficient in English communication and writing.
  • Ability to read, write, and converse in Chinese will be an added advantage as liaising with our counterparts in China and Chinese customers.
  • Pleasant personality, impeccable integrity, responsible, responsive, able to work under pressure and independently.
  • Strong working knowledge of Excel.
  • Proficient in IT systems.
