Job description

Key Responsibilities:

1. Tenancy & Leasing Management

  • Handle tenant onboarding and handovers, including unit reinstatement and fit-out processes.
  • Liaise with tenants regarding lease renewal, termination, and move-in/move-out schedules.
  • Coordinate with property agents to market and lease vacant units.
  • Maintain accurate tenant records and contact information.
  • Support in drafting and issuing tenancy agreements, handover documents, and reinstatement undertakings.

2. Facilities & Maintenance

  • Oversee building maintenance issues, including electrical systems, water tanks, plumbing, and structural integrity.
  • Coordinate with contractors for repairs and quotations.
  • Manage and monitor ongoing repair works to ensure timely completion and quality standards.
  • Follow up on building certifications (e.g. water tank recertification) and inspections.
  • Manage carpark facilities, CCTV systems, and security matters.

3. Contractor & Vendor Management

  • Source and manage quotations for renovation, landscaping, and maintenance services.
  • Supervise contractors’ performance and ensure compliance with safety and operational guidelines.
  • Engage and negotiate with vendors for building upkeep services (e.g. gardeners, plumbers, electricians).

4. Compliance & Emergency Response

  • Set up and maintain the CERT (Company Emergency Response Team) and ERT (Emergency Response Team).
  • Coordinate with SCDF and other authorities for FSM (Fire Safety Manager) certification and fire drill exercises.
  • Keep track of safety certifications and ensure all emergency procedures are in place.

5. Administrative & Financial Oversight

  1. Track and verify building-related expenses (e.g. utilities, maintenance, insurance).
  2. Submit and follow up on insurance claims for damages, incidents, and medical reimbursements.
  3. Maintain records of building income (e.g. carpark revenue, event rentals).
  4. Support budgeting by obtaining cost estimates and monitoring expenditures.

6. Tenant & Incident Management

  • Respond to tenant feedback and coordinate timely resolution of issues.
  • Investigate and document incidents (e.g. barrier damage, water leaks, service complaints).
  • Liaise with relevant parties for accountability and cost recovery (e.g. invoicing responsible drivers or companies).

Requirements:

  1. Minimum 3-5 years of experience in facilities or property management, preferably in commercial buildings.
  2. Strong interpersonal and communication skills.
  3. Able to work independently and manage multiple stakeholders.
  4. Familiarity with Singapore building regulations and SCDF compliance is a plus.
  5. Experience handling lease administration, maintenance issues, and contractor coordination.
  6. Ability to stay organized and detail-oriented in a dynamic environment.

Preferred Qualifications:

  1. Fire Safety Manager certification (or willingness to attain it).
  2. First Aid and CERT training is advantageous.
