Job Description
- Oversee the daily billing operations, ensuring accuracy and timeliness in generating and issuing invoices for trucking and rental services.
- Lead and support the billing team in responding promptly to email inquiries related to billing, invoices, and customer payment issues, ensuring a high level of customer service.
- Review the preparation and distribution of monthly reports to clients by the 10th of each month, ensuring financial data is clear, accurate, and professionally communicated.
- Manage and resolve issues related to credit notes, including depot refunds, overcharges, customer disputes, and goodwill discounts, and ensure the team follows proper procedures.
- Regularly review charge codes and storage folders to ensure all files are billed promptly and accurately, stepping in as needed for complex or high-priority accounts.
- Take charge of following up on outstanding Statements of Account (SOA) payments, ensuring the team stays on track and payments are received in a timely manner.
- Coordinate and assist in month-end closing activities, ensuring all invoices are filed and accounted for, and that the billing team meets deadlines.
- Support the team in performing ad-hoc duties, such as scanning, uploading invoices to the ERP system, and sending invoices to clients, while ensuring adherence to company processes.
- Provide leadership, mentorship, and training to junior team members, fostering a collaborative and efficient work environment.
Job Responsibilities
- Minimum qualification of Diploma in Business, Accounting, or a related field. Candidates with equivalent qualifications are welcome to apply
- Relevant experience in billing, accounting, or a similar role is preferred (3 years or more), but candidates with transferable skills are encouraged to apply
- Strong proficiency in Microsoft Office, particularly Excel; knowledge of ERP systems is a plus.
- Exceptional attention to detail and accuracy in managing numerical data and financial records.
- Ability to manage and prioritize multiple tasks while ensuring deadlines are met and operations run smoothly.
- Proven leadership and team management skills, with experience in training and mentoring team members.
- Excellent communication and interpersonal skills, with the ability to work closely with internal teams and interact professionally with clients.
