Job summary

NTT DATA is seeking a Skilled Facilities Administrator to manage more complex general maintenance and repairs within the organization. You will ensure requests are completed in line with service level agreements and may act as an informal team leader under the Facilities Manager.

The role requires proactive, independent work, knowledge of general hygiene, facility layouts, safety practices, and strong communication. On-site working is required.

Qualifications

• Solid demonstrated experience in a similar facilities role; prior team leadership is preferred.
• High school certificate and relevant vocational training are required.

Responsibilities

• Check that all maintenance and repairs requests are carried out in line with the service level agreement.
• Provide support with distribution of and responses to service requests for facilities.
• Perform daily building inspections ensuring compliance with Health and Safety regulations.
• Document and report maintenance progress to management.
• Coordinate routine maintenance and repair schedules.
• Maintain maintenance database and ensure tasks meet timelines.
• Liaise with internal and external stakeholders including building services, security, access control and cleaners.
• Escalate non-performance of stakeholders to management.
• Verify contractor documentation and maintain records (permits, leases, correspondence).
• Perform other tasks as required by management.

Your day at NTT DATA The Skilled Facilities Administrator is responsible for managing more complex general maintenance and repairs within the organization. This role ensures that all maintenance and repairs requests received within the organization are carried out in line with the service level agreement. This role may act as an informal team leader as required by the Facilities Manager / Leader.

Key responsibilities

• Checks that all maintenance and repairs requests received within the office environment and related buildings are carried out in line with the service level agreement.
• Provides support with the distribution of and response to all service requests related to the facilities.
• Checks that daily building inspections and ensures that all work undertaken conforms to the Health and Safety Act.
• Documents and reports on in progress, new and/or completed maintenance, and repair requests to management.
• Coordinates routine maintenance and repairs schedule.
• Provides support with ensuring that the tasks are completed according to the schedule and update and maintain the maintenance database.
• Ensures that buildings, offices and equipment are maintained to the required standards and that service levels are met.
• Provides support to ensure that all office facilities, tools, equipment, and stock (office consumable) levels are maintained and securely stored.
• Liaises with all internal and external stakeholders including building services management, security, and access control and cleaning staff.
• Escalates non-performance of internal and external stakeholders to the management.
• Checks all contractor documentation and maintain records such as permits, leases and correspondence on behalf of the business.
• Performs any other relevant tasks as required by management.

Academic qualifications and certifications

Required experience

Solid demonstrated experience gained in a similar role and preferably a related work environment. Previous team leader experience preferred.
