Job description

Associate, ISTD (1-Year Contract)

This role reports to Deputy Director, Information Systems Technology & Design (ISTD) and is part of the administration team, providing administrative support to faculty, outreach programmes and events. In addition, this role will conduct feasibility study on existing work processes, exploit opportunities for automation, and implement feasible ones using cost-effective computing or AI tools.

Duties and Responsibilities:

  • Assist with faculty administrative duties and ad hoc administrative tasks (including procurement, payment processing, claims submissions, venue bookings, travel arrangements, overseas academia visits).

  • Support ISTD outreach programmes (including programmes involving prospective and current students, and industry partners).

  • Support organising of seminars, guest lectures and ad hoc events.

  • Conduct study on the use of cost-efficient AI or computing tools to automate existing workflow/processes where applicable.

  • Provide administrative support to undergraduate, graduate and student exchange programmes.

  • Assist on recruitment of faculty, teaching assistants and student helpers.

  • Any other duties and responsibilities as assigned by Reporting Officer.

Requirements:

  • Degree in Computing/IT is preferred. Minimum two to three years of relevant working experience is preferred.

  • IT savvy and possesses good knowledge of computing and/or is familiar with the use of AI tools.

  • Good organisational skills and analytical mindset. Meticulous and detail oriented.

  • Resourceful and able to gather information independently and pro-actively.

  • Team player with a service-oriented personality.
