The National University Health System (NUHS) Regional Health System Office (RHSO) is seeking a detail-oriented and efficient candidate to support our operations team. The key responsibilities include:
Administrative Coordination and Meeting Management
Maintain and update comprehensive clinical staff rosters, including leave schedules and on-call arrangements for clinicians, administrators, and allied health professionals
Coordinate and manage logistics for regular clinical and leadership meetings, including scheduling, room bookings, and follow-up actions
Manage complex calendars for leadership team, ensuring efficient time management
Training and Development Support
Coordinate training plans with internal stakeholders and external vendors for RHSO staff
Manage training records, track Continuing Professional Education (CPE) points, and facilitate CPE point applications
Document and report on training programs and progress
Process EPIC system access requests for staff
Office and Facility Management
Liaise with Facility Management, vendors, and CIFO to address and resolve office maintenance issues promptly
Process monthly bills and claims, ensuring timely submission for payment
Conduct comprehensive office orientations for new hires, including safety and security briefings
Manage office access control for staff across RHSO locations
Support weekend community health events as needed
Requirements:
Diploma in any discipline
2+ years of relevant administrative experience, preferably in healthcare settings
Strong proficiency in Microsoft Office Suite, with advanced Excel skills
Excellent organizational and multitasking abilities
Strong communication skills and attention to detail
Ability to work independently and collaboratively in a fast-paced environment
Willingness to work at various NUHS cluster locations as required
