The National University Health System (NUHS) Regional Health System Office (RHSO) is seeking a detail-oriented and efficient candidate to support our operations team. The key responsibilities include:

  • Administrative Coordination and Meeting Management
  • Maintain and update comprehensive clinical staff rosters, including leave schedules and on-call arrangements for clinicians, administrators, and allied health professionals
  • Coordinate and manage logistics for regular clinical and leadership meetings, including scheduling, room bookings, and follow-up actions
  • Manage complex calendars for leadership team, ensuring efficient time management
  • Training and Development Support
  • Coordinate training plans with internal stakeholders and external vendors for RHSO staff
  • Manage training records, track Continuing Professional Education (CPE) points, and facilitate CPE point applications
  • Document and report on training programs and progress
  • Process EPIC system access requests for staff
  • Office and Facility Management
  • Liaise with Facility Management, vendors, and CIFO to address and resolve office maintenance issues promptly
  • Process monthly bills and claims, ensuring timely submission for payment
  • Conduct comprehensive office orientations for new hires, including safety and security briefings
  • Manage office access control for staff across RHSO locations
  • Support weekend community health events as needed

Requirements:

  • Diploma in any discipline
  • 2+ years of relevant administrative experience, preferably in healthcare settings
  • Strong proficiency in Microsoft Office Suite, with advanced Excel skills
  • Excellent organizational and multitasking abilities
  • Strong communication skills and attention to detail
  • Ability to work independently and collaboratively in a fast-paced environment
  • Willingness to work at various NUHS cluster locations as required
