Job description

The Associate Executive will serve as a primary point of direct administrative contact for the department. Responsible for managing the administrative functions of Dermatology Service, administrative support for research activities in the Department of Neonatology, and to provide a full spectrum of administrative support as assigned.

Job Description:

Provide Admin Support for Dermatology Service:

  • Support Dermatology HOD calendar.
  • Coordinate administrative functions and enforce hospital policy for the Service in coordination with all associated departments, providing administrative support and direction to the Service.
  • Support the implementation of the operational processes of the Service.
  • Establish, update, and maintain all files, inventories, and records in the Service.
  • Take on projects as required.
  • Participate in hospital initiatives and activities when assigned.
  • Perform other job-related duties as assigned by Division.

Provide Research Admin Support for the Department of Neonatology:

  • Provide administrative support in clinical trials/clinical research as assigned.
  • Coordinate research activities, e.g. journal club, research meeting/huddle.
  • Perform data collection from case records, for example, but not limited to, the Very Low Birth Weight (VLBW) and Neonatal Intensive Care Unit (non-VLBW) infants.
  • Ensure data is correctly entered into the database system.
  • Perform curation of data reports and simple analysis including but not limited to data extraction and verification.
  • Coordinate with Health Information Management Services (HIMS) to retrieve patient case records.
  • Coordinate source documents and research data between investigators and sponsors.
  • Perform other research admin duties as assigned by supervisor/Head of Department.

Job Requirement:

  • Diploma holder with at least 4 years' experience or Higher NITEC / NITEC / GCE with 10 years’ experience with demonstrated competency.
  • Ability to work as a team as well as independently in a fast-paced environment.
  • Ability to communicate effectively, both orally and in writing.
  • Ability to gather data, compile information, and prepare reports.
  • Skills in organizing resources and establishing priorities.
  • Skills in the use of personal computers and related software applications (e.g., Intermediate computer skills for Microsoft Office WORD, EXCEL, and PowerPoint).
