Job Scope:
- Leading a team to manage the day-to-day workplace services activities for the facility.
- Being the on-site key point of contact for key stakeholders and/or clients.
- Identifying and proposing changes to improve operational efficiency and employee experience.
- Resource planning of the outsourced facility management team to ensure smooth operations.
- Assisting the Ferrero workplace manager with administrative tasks as directed.
- Procurement of pantry supplies, stationery, and chocolate inventory.
- Overseeing facility management programs including cleaning, pantry services, etc.
- Working with clients to formulate strategies for workplace services.
- Conducting monthly management meetings and weekly operations meetings with clients.
- Advising and leading HSE compliance throughout the office space.
- Preparing monthly finance reports for clients as per agreed timelines.
- Monitoring KPIs monthly and providing quarterly reports to clients.
- Managing season parking requests.
- Managing the ticketing system (SOS) and ensuring responses within SLAs.
- Supporting SEA countries license renewals remotely.
- Collaborating with departments on daily operations and events.
- Preparing and managing the workplace services budget, ensuring timely payment of supplier invoices.
- Ensuring adherence to preventive and reactive maintenance schedules.
- Supporting workplace events and space setup as required.
- Collaborating with HR on onboarding and offboarding processes, including preparing welcome kits, business cards, and workstation assignments.
- Managing procurement and inventory of welcome kit supplies to ensure timely availability.
- Supporting event planning and coordination, including decorations, setup, and logistics for corporate events and employee activities.
- Facilitating special arrangements such as newborn gifts and wreath flower deliveries in line with company policies and cultural practices.
- Handling any ad-hoc requirements requested by the client.
Skills, Knowledge & Experience:
- Minimum diploma in Facilities Management and/or Hospitality.
- Experience in facility management or hospitality (management experience in 5-star hotels is a plus) with 2–3 years of leadership experience.
- Excellent communication and interpersonal skills.
- Proactive and outgoing personality.
- Good vendor management skills.
- Team player with strong people management skills.
- Well-groomed and self-motivated with lateral thinking abilities.
- Languages: Fluent in English; bilingual skills are advantageous.
