Key Roles & Responsibilities

To assist in the operation and administration of the University of the Arts’ Student Services Division. This role involves collaborating with various departments to ensure smooth operations and providing excellent service to students.

The key responsibilities include but are not limited to the following:

  • Assist in Budgeting:

    • Coordinate and assist to manage the budget exercise for the Division.

    • Monitor and tracking of expenditure against budgets.

  • Secretariat and Administrative Support:

    • Assist in organizing divisional and departmental meetings.

    • Take minutes during meetings and ensure accurate documentation of discussions and decisions.

    • Follow up on action items and matters arising from meetings.

    • Provide support on administrative matters as required.

  • Report Submission and Presentation Preparations:

    • Coordinate and collate the data and information for reporting, auditing and submission to stakeholders and assist in preparation for presentation.

  • Policies, Procedures, and Manuals:

    • Assist in drafting and reviewing policies, procedures, and manuals for the Division to ensure compliance and efficiency in operations.

  • Plan Surveys and Collate Survey Outcomes:

    • Coordinate the planning and execution of student surveys, including drafting questionnaires, implementing surveys, and collating survey outcomes.

  • Division Planning:

    • Assist the Group Director in compiling Division plans and documenting outcomes from the departmental annual review.

  • Assist in Events Organizing:

    • Assist the Group Director in planning and execution of Open House events, Convocation and other student events.

Requirements:

  • Bachelor’s degree in any discipline.

  • Minimum 7 years of relevant experience, preferably in the service or education sectors.

  • Demonstrated interest, understanding, and patience in working with students.

  • Strong event management, planning, and organizational skills.

  • Ability to work effectively in a team, with excellent interpersonal skills.

  • Proficient in written and spoken English.

  • Competence in MS Office applications and adept with social media.

  • Familiarity with design software is a plus.
