Job Description:

The incumbent will provide support to the Division of Industrial Design (DID), focusing on research matters, and act as the Programme Manager for Division’s Graduate Research programmes and respond to the rapid expansion of these programmes.

  • Masters of Arts (Industrial Design)

  • Doctor of Philosophy (Industrial Design)

The duties and responsibilities include, but are not limited to the following:

Programme Administration

By working with the Deputy Head (Research) and CDE Office of Graduate Programme (OGP), he/she will take charge of the overall administration of the Graduate Research Programmes throughout the student lifecycle. Key responsibilities include:

  • Provide administrative support for admissions;

  • Lead administrative processes on academic matters such as timetabling, course registration, student feedback, examination matters (Written Qualifying Exam/ Oral Qualifying Exam/Thesis Examination and Oral Defense) and Graduation;

  • Work with internal or external stakeholders on course advisory and promote positive customer service practices and continuously improve students’ experience;

  • Assist in any other aspect of the Graduate Research programme as deemed necessary;

  • Provide administrative support for student support and advisory;

  • Support the outreach efforts in promoting the degree programmes;.

Research Administration

By working with the Deputy Head (Research), and CDE Dean’s Office, provide administrative support to research faculty, ensuring the smooth execution of research projects and related activities. Key responsibilities include:

  • Assist in grant administration, including coordination for WBS setup, budget tracking, and compliance with funding requirements;

  • Support recruitment, onboarding, and contract management of research staff; coordinate workspace allocation and facility needs;

  • Support recruitment of new faculty members where necessary, closely working with the Division’s Search Committee;

  • Assist in tracking, documenting, and reporting research outputs, including publications, awards, and milestones;

  • Support the planning and execution of research-related events, workshops, and conferences;

  • Facilitate procurement processes, including purchase requests, vendor coordination, and expense tracking;

  • Provide administrative support for industry partnerships, including documentation, reporting, and coordination with stakeholders.

Qualifications

  • Academic qualification: Degree from a recognized university.

  • Possess programme management experience; preferably more than five years of experience as programme coordinator and partnership development in the higher education sector.

  • Good time management and organizational skills, able to multitask efficiently.

  • Strong analytical and problem-solving skills.

  • Strong communication (presentation, verbal, written) and interpersonal skills.

  • Proficiency in general software applications that facilitate work operations such as Microsoft Office software including Outlook, Word, Excel, Powerpoint and other productivity tools. Ability to learn new systems and processes.
