Job Description
AI Singapore (AISG) is a national AI programme launched by the National Research Foundation (NRF) to develop deep national capabilities in Artificial Intelligence (AI).
The programme office is hosted by the National University of Singapore (NUS) and collaborates with Singapore-based research institutions, AI start-ups, and companies to conduct use-inspired research, expand knowledge, develop tools, and nurture talent to advance Singapore's AI initiatives.
We are seeking an experienced, enthusiastic, and meticulous individual to strengthen our administration team.
The successful candidate will report to the grant administrator lead and play a key role in managing and supporting the administration of AISG Grants. If you are resourceful, motivated, and passionate about creating social and economic impacts, we welcome your application!
Duties and Responsibilities
To support the management and administration of all AI Singapore programmes, including 100 Experiments, Research Programme, Kickstarter, Grand Challenge, Technology Challenge, and related projects. Responsibilities include but are not limited to:
- Managing AI Singapore Funding Programmes and Research Project Grants: Collaborate with NUS administrative offices, participating institutions, PIs, and grantors on pre- and post-award matters, including:
- Assisting in scoping and document preparation for AI Singapore programme grant calls.
- Disseminating grant calls and coordinating application submissions.
- Coordinating reviews for applications and Scientific Committee meetings.
- Preparing and finalizing grant award letters, agreements, and terms & conditions.
- Following up with host institutions regarding official acceptance and WBS account setup.
- Aligning with SSRPO for virement, reporting SOPs, and approval processes.
- Processing requests for project changes.
- Managing and coordinating annual project reports, audits, expense reports, claims, budget projections, KPI reports, and other programme-level documentation for submission to funders.
- Handling grant-related queries concerning compliance, policies, and reporting matters with stakeholders, including representatives from IHLs.
- Housekeeping and archiving grant documentation.
- Organizing and coordinating events, roadshows, and presentations related to AI Singapore funding programmes and projects.
- Performing other duties as assigned by the Lead, Grant Admin, Head of Finance and Admin, or Director of Strategic Ops.
Secretarial support: Provide programme-related secretarial assistance to AI Singapore directors, including coordinating steering committee and evaluation panel meetings, and collecting peer review reports for selected projects.
Qualifications
- A recognized degree.
- Minimum of 4 years of relevant work experience; prior grant administration experience is advantageous.
- Strong organizational and administrative skills.
- Excellent interpersonal skills.
- Ability to work independently and collaboratively within a team.
- Adaptable and capable of multitasking in a fast-paced environment.
- Proficient in MS Office applications.
