Job description

Reporting to the Senior Manager, you will provide excellent client service ensuring clients receive prompt responses to requests and queries.

You will develop an in-depth knowledge of existing and potential clients, their industry and key contacts and be responsible for overall client servicing of the group and be accountable for any jobs lost due to controllable reasons.

You will maintain good client relationships with a KPI of meeting at least two key clients a month to assess customer satisfaction for possible improvements and identify possible expansion of services and review fee and propose fee increases, where appropriate. You will meet prospective clients and prepare fee proposals, including follow-through until the job is accepted or rejected. You will also be proactively involved in business development and marketing and will coordinate with the Marketing Director to carry out marketing plans for the department.

You will be responsible for the maintenance of statutory books for your portfolio of clients and oversee the preparation and coordination of the statutory books and documents, including submission of statutory forms and documents to ACRA, IRAS, Stock Exchange and The Central Depository within the stipulated deadline.

You will supervise the daily operations of the group and ensure all communications with clients are supported by emails, outlining agreed action steps, responsibilities and deadlines. You will also participate in the preparation of budgets and forecasts for the group and compare them with the previous budget/forecasts, as well as oversee credit control and the prompt collection of debts for the respective portfolio of clients. You will work closely with Finance to follow up on outstanding and doubtful debts.

You will ensure prompt billing and will be responsible for WIP. You will finalize the WIP cost and will answer for write-offs. You will ensure that the team of staff work within the budget set for each job and identify and recommend improvements to current policies and procedures, processes and client servicing arrangements, in line with the current business and regulatory practices.

Pre-requisites

  • Minimum ICSA qualified Chartered Secretary or holds an LLB degree or equivalent related qualification
  • At least 5 – 7 years of relevant or related work experience
  • Possess strong knowledge of the procedures and guidelines of Listing Manual, Companies Act, Catalist Rules and Securities and Futures Act
  • Excellent client servicing and strong problem-solving skills
  • Strong MS Office skills (especially Word) and good knowledge of Viewpoint
  • Able to build team rapport with a willingness to share knowledge
  • Meticulous, organized and deadline oriented
