Job description

Pathlight School is the first autism-focused school in Singapore to offer the national curriculum together with life readiness skills. It caters to students on the autism spectrum with related conditions, aged 7 to 18 years, who are cognitively able to access national curriculum but require additional support such as smaller class sizes, special accommodations and teaching staff trained in autism.

The Operations & Estate Management team is the heart of the school's operations, providing a well-maintained, operationally ready, safe and conducive environment for all students and staff.

As an Assistant Executive, Operations & Estate Management, your Impact and Contribution include:

Supporting the daily operations of the school by ensuring a safe, functional, and student-friendly environment. You will provide hands-on logistical and facilities support in a fast-paced setting, contributing to a positive experience for students on the autism spectrum. This role calls for someone who is proactive, resourceful, and driven to make a meaningful difference.

Responsibilities:

  • School Operations & Logistics
  • Oversee daily operations, including classroom readiness and space utilization
  • Manage inventory and supplies for general operations and pantry needs
  • Coordinate vendor support for bus operations and manage related incidents
  • Conduct routine inspections of buildings, facilities, and systems
  • Monitor cleanliness, hygiene, and the overall upkeep of the school environment
  • Event & Volunteer Support
  • Assist in the planning and execution of school events and programmes
  • Coordinate event logistics, liaise with vendors, and support event setup and teardown
  • Engage and support parent and community volunteers
  • Coordinate annual student-related services such as health screenings, dental checks, class photography, and NRIC registration
  • Procurement & Budget Management
  • Source, evaluate, and liaise with vendors; negotiate pricing and terms
  • Track procurement activities and maintain accurate vendor and order records
  • Ensure purchases are cost-effective and meet required quality standards
  • Assist in budget preparation, cost analysis, and reporting
  • Oversee the maintenance and stocking of meeting rooms, stationery counters, and pantries
  • Safety, Maintenance & Compliance
  • Support the implementation of school-wide safety protocols and emergency response procedures
  • Conduct regular safety audits, risk assessments, and emergency drills
  • Coordinate permits, inspections, and ensure regulatory compliance (e.g., SCDF, BCA, NEA)
  • Oversee campus security operations, including access control and guard management
  • Manage preventive and corrective maintenance with contractors and service providers
  • Other Duties
  • Participate in internal committees related to operations and safety
  • Perform other duties as assigned by the Operations Manager

Requirements

  • Diploma in Operations, Hospitality Management, Facilities Management, Engineering, Business Administration, or related fields
  • At least 2 years of relevant experience in operations, logistics, or safety management (fresh graduates with relevant internships or volunteer experience are welcome to apply)
  • Proficient in Microsoft Office (Word, Excel, PowerPoint)
  • Strong organisational and time management skills
  • Detail-oriented, solutions-focused, and able to multitask
  • Good interpersonal, communication, and problem-solving abilities
  • Able to work independently and as part of a team
  • Comfortable in a fast-paced, dynamic environment
