Job description

We have opening for Assistant Executive (Administration) and we invite candidates with positive attitude and willingness to serve to apply.

  1. THE POSITION

This position reports to the Senior Manager (Administration) and is primarily responsible for ensuring the smooth operation of the front counter in the school’s General Office (GO). This role involves professional interaction with a diverse group, including Primary and Secondary students, parents, school staff and the general public. This position is expected to support other administrative duties as required.

2. RESPONSIBILITIES AND ACCOUNTABILITIES

  1. Manage front counter duties, including attending to students, staff, visitors, and handling telephone calls. Respond to walk-in enquiries and assist with school-related matters.
  2. Manage unwell students and provide necessary support.
  3. Maintain the school calendar of events and report the daily school activities.
  4. Manage and maintain school records, including loan items, lost and found items, etc.
  5. Handle deliveries, ensuring requestors are informed upon receipt.
  6. Manage and process incoming/outgoing mail.
  7. Compile basic data and statistics as required.
  8. Assist the school administration team with non-complex procurement processes.
  9. Provide ad-hoc administrative support as assigned.

3. REQUIRED COMPETENCIES

  1. At least one year of relevant working experience.
  2. Able to think clearly and make sound judgments.
  3. Able to apply school guidelines and standard operating procedures to work.
  4. Attentive and comfortable interacting with students, staff and the general public, demonstrating respect and patience.
  5. Work well with team members and provide assistance to colleagues when needed.
  6. Actively participate and give support where required in team and school-wide activities.
  7. Willing to learn and continuously improve work processes.
  8. Proficient in Microsoft Word and Office applications.
