Job description

Assist in the planning and execution of events by coordinating logistics, managing vendor relationships, overseeing event setup, and supporting post-event activities to ensure smooth and successful event operations.

Key Responsibilities

  1. Logistical Support:
    • Assisting with venue selection, layout, and setup.
    • Managing event timelines and schedules.
    • Coordinating with vendors (catering, AV, decorations, etc.).
    • Ensuring smooth event flow and addressing any issues that arise.
    • Assisting with event decorations and setup.
  2. Administrative Support:
    • Maintaining event records, including attendee lists and contracts.
    • Managing event budgets and tracking expenses.
    • Handling event-related correspondence and communication.
    • Assisting with event promotion and marketing materials.
  3. On-Site Coordination:
    • Assisting with event setup and teardown.
    • Providing on-site support to event attendees and staff.
    • Troubleshooting any issues that arise during the event.
    • Ensuring the event runs smoothly and on time.
  4. Post-Event Tasks:
    • Gathering feedback from attendees and stakeholders.
    • Assisting with post-event analysis and reporting.
    • Following up with vendors and clients.
  5. Other Duties:
    • Assisting with event planning and conceptualization.
    • Researching event venues and vendors.
    • Ordering event supplies and materials.
    • Event registration and ticketing.

Requirements

  1. Skills:
    • Strong organizational and time management skills.
    • Excellent communication and interpersonal skills.
    • Problem-solving abilities.
    • Ability to multitask and prioritize tasks.
    • Proficiency in relevant software (e.g., Microsoft Office).
    • Knowledge of event planning processes and best practices.
  2. Experience:
    • Some experience in event planning or a related field is preferred.
    • Experience in customer service or hospitality is a plus.
  3. Education:
    • High school diploma or equivalent is typically required.
    • Associate's or bachelor's degree in event management or a related field is a plus.
  4. Others:
    • Pro-active and self-driven.
    • Business travel.
