Job description

What the role is:

Assistant Director (Special Projects) You will join the team in AGD’s Special Projects Branch to staff the ASEAN Treasury Forum (ATF) Secretariat, to support AGD’s participation in ATFs overseas as well as in the planning, organising and hosting of ATF in Singapore.

What you will be working on:

Participating in ATF overseas You will be involved in planning, staffing and preparing AGD’s participation in ASEAN Treasury Forums overseas. You will be involved in the following:
  1. Secretariat work on ATF
  2. Replying to requests for inputs from ASEAN secretariat e.g. Concept Note, Summary of Discussions
  3. Ensuring knowledge management of relevant documents
  4. Pre-Trip Preparation for HOD retreat and technical level discussion
  5. Coordinate trip logistics, clarifications with host on programme and preparation of Approval of Requirements paper
  6. Staff discussions and coordinate relevant logistics with other directorates, agencies for bilateral meetings and gala dinner
  7. Obtaining and compiling inputs from subject matter experts from other directorates and agencies to prepare the HOD Retreat Brief
  8. Assist in compiling and drafting technical level discussion presentation materials and talking points
Participation at ATF overseas Supporting and staffing AGD’s participation in the ATF programme:
  1. Recording ATF proceedings and summarising key points
  2. Preparing talking points for follow-ups within ATF (e.g. Group facilitation, Plenary reports, Focus Group discussions) and trip report
Planning, Organising and Hosting ATF in Singapore You will assist the Director in the planning, organising and hosting of ATF in Singapore. You will be involved in the following:
  1. Assist in the setting up of the ATF 2027 Organising Structure and Terms of Reference
  2. Plan and organise ATF 2027 and work on the requirements for procuring professional event management services and other services
  3. Coordinate with speakers / stakeholders on the detailed programme for ASEAN ATF
  4. Prepare invitations to ASEAN members and coordinate their attendance and arrivals, including preparing Liaison Officers for their role in supporting the ASEAN participants

Functional/Technical Competencies
  1. Tertiary education in Accountancy or Business Administration or related fields
  2. At least 3 years of relevant working experience and knowledge in budgeting, accounting and procurement
  3. Excellent writing skills with high proficiency in using digital tools, Microsoft Word and Excel, etc
  4. Strong in communication skills, planning and organisational skills
