A dynamic organization in Singapore is seeking an Assistant Director to lead administrative functions, manage stakeholder engagement, and oversee budgeting. The ideal candidate will have at least 5 years of relevant experience and a degree in a related field. Responsibilities include supervising staff, leading outreach activities, and ensuring compliance with regulations. We are seeking a dynamic and forward-thinking, highly skilled and organised individual with excellent attention to detail, strong interpersonal skills, and a proven ability to influence and succeed within a complex environment to undertake the leading managerial role within the department. The candidate will supervise administrative staff handling operational roles, as well as act as matrix manager for research staff performing administrative roles. The role will, offer direct support to the Executive Director and Management Team, and work very closely with internal and external stakeholders.
Job Scope:
Lead the administration and offer oversight, communicating directly with senior internal and external stakeholders.
Work alongside and deputize for the Executive Director and Management team by leading and supervising daily administrative functions, overseeing overall project management, strategic development, budget and manpower planning, and stakeholder engagement. The role includes designing and implementing effective processes for operationalising research and policy-related activities, as well as developing procedures to support administration, capacity building, and department-wide initiatives.
Lead the department's outreach activities, locally and nationally - including with government, practice, policy and research stakeholders. (e.g. webinars, seminars, outreach events/workshops and conferences)
Lead negotiations and agreements for various types of procurement and contracts, including projects, grants, sponsorships, and donations - alongside the Executive Director.
Manage audit queries and ensure compliance with relevant regulations and policies.
Lead the development, delivery and regular reporting to stakeholders of the department's strategic workplan - including deliverables, milestones, budgets, and resources.
Oversee the development and communication strategy feeding into the website and other communication channels, including research dissemination and coordination with the university and national stakeholders' communication teams.
Act as a direct and matrix manager for department staff.
Deputise for the Executive Director and represent the Centre as required.
Perform other related duties incidental to the work or as assigned by the Executive Director and Management Team.
Requirements:
Possess a degree in management, education, communication, or any other relevant discipline.
At least 5 years of relevant working experience.
Proficient in all Microsoft Office applications, including Word, Teams, and Powerpoint. Extremely good knowledge of Excel, to facilitate handling, managing and presenting budgets.
Proficient in setting up and managing hybrid and virtual meetings with conferencing software.
Basic understanding and knowledge of social media algorithms, engagement and management, such as Instagram, Facebook, and LinkedIn.
Expertise with any project management software is preferred.
