Job description

Overall Job Purpose:

The ideal candidate will provide business support and lease administration services. Responsibilities include ensuring proper documentation and compliance, managing lease status and renewals, maintaining tenancy agreement templates, updating SOPs, handling revenue tenders and property tax matters, overseeing financial aspects such as budgeting, revenue tracking, and reporting, and fostering partnerships with tenants. The role also involves overseeing hotel lessees, licenses of partners including leasing and renewals, assisting in budgeting, conducting monthly revenue analysis and dashboard reporting, reviewing and updating tenancy management processes, overseeing the Tenancy Management System, managing property tax matters, and organizing tenant engagement sessions with SDC management.

Key Responsibilities

Business Support

  • Support in implementing strategies to improve the island's tenancy mix and business performance.
  • Provide regular market updates for the hotel industry.
  • Support business development of new projects, including maintaining investor contacts and conducting due diligence.

Lease Negotiation & Renewals

  • Support the Lease Manager in negotiating lease terms, renewals, and amendments.
  • Conduct market research to benchmark rental rates and lease conditions.
  • Prepare lease summaries and abstracts for internal stakeholders.
  • Prepare cover letters and letters of offer for new and renewal tenancy agreements in collaboration with the legal department, and manage template versions for leases, licenses, and tenancy agreements.
  • Prepare documents related to novation, transfer, termination, surrender, variations, and expiry.
  • Manage and track the status of lease documentation.
  • Monitor the collection and release of advance rentals, security deposits, and e-guarantees.
  • Coordinate with Operations on space handovers and take-backs.
  • Ensure tenant leasing details and sales data are accurately input into the Tenancy Management System.
  • Oversee issuance and receipt of all legal documents.
  • Send executed legal documents for stamping.
  • Perform ACRA searches.
  • Manage general filing and the Document Management System for the department.

Financial & Reporting Oversight

  • Assist in budgeting and forecasting for lease-related expenses.
  • Generate reports on lease expirations, occupancy costs, and portfolio performance.
  • Coordinate with Finance to ensure accurate rent accruals and payments.
  • Monitor rental arrears and assist with collection efforts, including issuing Letters of Demand if necessary.
  • Manage appointed valuers in leasing the island's properties.

Stakeholder Coordination

  • Liaise with tenants and lessees (hotels, commercial leases) to resolve lease issues and foster partnerships.
  • Collaborate with cross-functional teams (Finance, Legal, Operations) to ensure lease compliance.
  • Address inquiries from tenants and landlords regarding lease terms and obligations.

Process Improvement

  • Identify opportunities to streamline lease administration processes.
  • Assist in implementing lease management software and best practices.

Job Requirements

  • Diploma/Degree in Business Management, Real Estate, Finance, or a related field.
  • At least 3 years of relevant experience.
  • Experience managing/leasing commercial spaces is essential.
  • Proficiency in lease management software (e.g., SIMPLICITY, Yardi), MS Excel (including VLOOKUP, pivot tables), and lease abstraction tools.
  • Knowledge of lease clauses and real estate laws.
  • Strong negotiation, analytical, and communication skills; detail-oriented with organizational abilities; self-motivated, positive, resourceful, and team-oriented.
