A leading company in engineering seeks an administrative support professional to join their team in Singapore. The role involves overseeing general administrative tasks, managing databases, coordinating corporate communications, and ensuring a safe working environment. Candidates with experience in administration and proficiency in Microsoft Office are preferred.
Description
Support the team in all aspect of the general administration including but not limited to, maintenance, leasing, insurance, office equipment and purchasing of support.
Responsibilities
Assist in handling day to day administration, maintaining records, filling, purchase order preparation, petty cash claims and document control.
Management and maintain all filing, inventory and client database
Responsible for coordinating Corporate Communications for the Company.
Co-ordinate all aspects of the Company Website, including updating of website every 3 months when necessary, and an overall revamp of the website once every 5 years
Co-ordinate corporate materials including artwork and contractors/suppliers for Events & Exhibitions
Support Customer Appreciation Activities e.g. events, gifting
Co-ordinate Customer Satisfaction Surveys in line with Company ISO Policy
Source & procure marketing collaterals including Corporate gifts
Regular scanning of media, specifically newspapers for related and relevant articles and to collate these articles weekly for dissemination to management.
Co-ordinate various licenses/ renewal/application e.g. BCA Contractor’s Registry, I.E Singapore’s Double Tax
Co-ordinate interviews, photography session, provision of information for Directors/staff for media enquires/interaction
Work closely with BDD team to develop Corporate Presentation and update once every 6 months
Co-ordinate collating of Corporate Info Pack, including Corporate Presentation
Work closely with BD Executives to assist with HR needs
Maintain HR related records in the share space, Responsible for Rotary Intranet (BDD)
To be proactive in creating a safe working environment for everyone and ensuring that HSE in-house rules are observed at all times.
To consider HSE aspects when planning and carrying out tasks to eliminate and reduce HSE hazards, aspects and risks.
Requirements
Preferably GCE O / A Level or Diploma in Business Administration
Preferably 2 year experience handling general administration and/or secretary’s duties.
Proficiency in MS Words, Excel and Power Point
