We are seeking a highly organized and proactive individual to provide comprehensive administrative support across various functions, such as office operations, human resources, finance, and psychological services. Responsibilities include managing reception duties, maintaining office supplies and records, assisting with staff training and recruitment, processing financial claims, and supporting meetings and events. The candidate will also maintain client and staff data and provide logistical support for psychological service activities. Strong multitasking skills and attention to detail are essential.

  • Handle reception duties, address queries, and direct them to the appropriate department.
  • Perform clerical tasks, including managing mail, filing, photocopying, data entry, and courier arrangements.
  • Handle psychological service inquiries and referrals, maintain enquiry logs, and collaborate with the Psychologist-on-duty.
  • Prepare quarterly statistics and client profile data; present findings for reports and meetings.
  • Collaborate with the HOD and Psychologists on psychological service outcome measures.
  • Provide administrative and logistical support for training and workshops related to Psychological Services.
  • Maintain an organized filing system for administrative records.
  • Support psychological services by managing inquiries, preparing statistics, and assisting with training and workshops.
  • Assist in meetings by preparing materials, equipment, refreshments, and taking minutes as needed.
  • Oversee office supplies inventory and maintain an organized office environment.
  • Manage office errands, repairs, and maintenance of facilities.
  • Update and ensure accuracy of client and staff records, maintaining data confidentiality and compliance.
  • Assist with recruitment, staff training, and financial tasks such as fee collection, claims processing, and petty cash management.
  • Monitor fund balances, process reimbursements, and prepare financial reports.
  • Assist with banking, procurement, and departmental budgeting.
  • Provide feedback on work processes and support system updates.

Candidate Profile:

  • At least GCE A Level with 8+ years of experience in office administration, HR, or finance.
  • Proficient in English (oral and written), with strong communication and interpersonal skills.
  • Excellent organizational, time management, and problem-solving skills.
  • Committed to continuous learning and receptive to feedback.
  • Resourceful in utilizing tools and resources effectively to meet targets.
  • Proficient in Microsoft Office (Word, PowerPoint, Excel); knowledge of Access is a plus.
  • High integrity, professional approach, especially in financial tasks (if applicable).
