Job description

Provide operational support and process export documentation (billing invoices, reports, and airway bills) accurately and promptly to achieve OPS objectives and meet airline departure requirements. Assist the branch in complying with Customs and other government agencies' regulations.

Responsibilities include:

  1. Processing export documentation accurately and timely for customers, ensuring compliance with Customer/OPS requirements and airline flight departure cut-offs.
  2. Ensuring all documentation (billing invoices, reports, AWBs, etc.) are complete, scanned in e.doc, properly indicated, and accompany shipments.
  3. Checking that all shipment checklists are completed, scanned, filed, and attached to shipments as per IATA regulations.
  4. Meeting Pharmaceutical & Healthcare requirements per GDP/GDPMDS regulations and directives.
  5. Completing DAYEND closing reports at the end of each day.
  6. Reviewing shipment events data and shipment manifests for timely and accurate updates to meet Operational Performance Audit objectives.
  7. Sending all pre-alert shipment documentation to customers and destination offices promptly.
  8. Coordinating with airline terminals and warehouse vendors regarding shipment disputes or discrepancies.
  9. Communicating with customer service on issues related to rates, destinations, and shipping instructions.
  10. Providing 24-hour service, including after-hours, holidays, and weekends, for urgent or AOG shipments.
  11. Performing shift work and rostered duties as required.
  12. Declaring all types of AOG customer shipping permits in compliance with customs rules and regulations.
  13. Taking on additional tasks as needed to meet department requirements.

Minimum requirements include:

  • Tertiary education with at least 1 year of experience in the service industry and knowledge of airfreight operations.
  • Initiative with a positive, proactive attitude.
  • Good organizational skills and teamwork abilities.
  • Commitment to job responsibilities and work assignments.
  • Computer literacy, including proficiency in Microsoft email, Excel, and Word.
  • Attention to detail and good organizational skills.
  • Ability to work independently with minimal supervision.

Working Hours

5-day workweek with 1 off day and 1 rest day within a calendar week.

Shift Schedule (Day/Hours may vary):

Roster 1: 06:30 PM – 04:00 AM (1-hour lunch break) for 4 days

06:30 PM – 03:30 AM (1-hour lunch break) for 1 day

Roster 2: 08:30 PM – 06:00 AM (1-hour dinner break) for 4 days

08:30 PM – 05:30 AM (1-hour dinner break) for 1 day
