A leading engineering company seeks an Administrative Support role focused on service maintenance. The position involves liaising with customers for repairs, preparing quotations, and ensuring effective communication between departments. Candidates must be proactive, customer-oriented, and skilled in SAP.
Issue quotation and promptly liaise for repair jobs
Work with Team Leads to offer customer with comprehensive maintenance quotation or process contract renewals
Pass documents for billing to accounts department promptly.
Assist maintenance and service team on documents.
Reply to emails for breakdowns and repair jobs, promptly.
Prepare and scan maintenance checklist monthly email to customer.
Maintain E-copies documents in the server and filing hardcopies, and perform upkeeping or re-build of records
Coordinate with accounts for weekly labour costings submissions and recording of Aftersales timesheets
Collaborate with other internal users to update repair history for monthly billing / service job tracking
Issue material/operation form, to purchasing department.
Able to liaise with oversea suppliers for spare parts and follow up for shipment delivery with Procurement in view of addressing customer’s enquiry
Work with aftersales team to follow-up on tools/consumables purchases
Perform full spectrum of service and maintenance administration for the Head of Service Department
Able to undertake special projects as team member for process improvement
Proficient in SAP for data migration integrity and consistency testing with internal teams
Accountabilities & Commitments Required
Assist with resolving any customer concerns or issues, with the goal of maintaining high standards of customer satisfaction.
Work closely in collaboration with departmental manager and colleagues.
Strong initiative and willing to take on add responsibilities to grow and contribute; able to work overtime during exigencies or to expedite work issues towards completion
