A leading company in environmental services seeks an Administrative Assistant to handle quotations, invoicing, and customer interactions. This entry-level position is ideal for fresh graduates looking to gain practical experience in an office environment. Key responsibilities include administrative support, communication with clients, and logistics arrangements, providing a comprehensive overview of day-to-day operations.
Responsibilities
Responsible for creating quotations for potential and existing customers; as well responsible for outsourcing to external sub-contractors.
Responsible for invoicing and preparation of test reports for customers.
Eloquent and have basic knowledge of microbiological / chemical tests; keen and willing to learn.
Handle phone calls and email correspondence from clients, with respect to quotation, basic enquiry, invoicing and test report generation.
Assist in logistics arrangement when required
Undertake general office administrative duties (e.g. photocopying, scanning, filing, sorting, faxing and mail distribution).
Assist in ordering office supplies and other materials needed by the Department.
Proficient in Microsoft Office (e.g. Word, Excel) and basic knowledge of Invoicing System (e.g. SAP).
Assist in other ad-hoc administrative duties when required.
