Position Summary

The Administrative Officer provides essential support in IT troubleshooting, finance operations, office management, and general administrative tasks. This role ensures smooth daily operations by assisting with vendor payments, asset management, meeting and travel coordination, and maintaining organized records. The position requires effective communication skills, including the ability to converse in Korean, to support cross-departmental collaboration and vendor liaison.

Key Responsibilities

IT Support & Technical Assistance:

- Provide basic troubleshooting support for office staff on email, hardware, and software issues.

- Coordinate with external IT vendors for escalated issues.

- Set up workstations and IT equipment for new hires.

- Maintain records of IT assets and office equipment.

Payments, Finance & Asset Management Support:

- Process and track vendor payments.

- Prepare basic finance reports under guidance.

- Support routine bank-related administrative tasks.

- Maintain and update inventory records of IT assets and office equipment.

Office & Facilities Administration:

- Assist in the upkeep of the office environment, including coordinating basic maintenance.

- Manage office and pantry supply inventory and coordinate purchases as needed.

- Support onboarding logistics for new staff (e.g., desk setup, welcome materials).

Meeting & Travel Coordination:

- Assist with travel bookings and arrangements for staff.

- Support simple internal event coordination (e.g., team lunches, festive decorations).

- Document & Record Management

- Maintain proper filing of administrative documents, invoices, and payment records.

- Ensure up-to-date and organized physical and digital document storage.

Requirements

- Minimum diploma or equivalent qualification in business administration, information technology, or a related field.

- Basic understanding of IT troubleshooting (hardware, software, email) and willingness to learn.

- Fluent in Korean (verbal and written) to liaise with headquarters in Korea.

- Excellent English communication skills for office correspondence and documentation.

- Proficient in MS Office applications (Word, Excel, Outlook).

- Strong organizational skills with attention to detail for asset and document management.

- Able to multitask and prioritize tasks in a fast-paced office environment.

- Proactive, reliable, and a team player with a positive attitude.

- Previous experience or internship in office administration or IT support is a plus but not mandatory.
