Job description

Job Title: Admin Manager (AM)

The role of the Admin Manager (AM) is to oversee the strategic management of funds and resources to achieve the school's objectives, along with managing day-to-day operations, financial administration, general office administration, and inventories/supplies.

The AM will be a key member of the management team, contributing to organizational decision-making and participating in various executive and non-executive functions. The role also involves reviewing and enhancing the school's administration system by leveraging technology to improve productivity and efficiency.

The AM is responsible for supervising and managing a team of executive and clerical officers.

The school supports students with intellectual disabilities, including those with Autism Spectrum Disorder (ASD), aged 7 to 18. Our staff are dedicated to helping students become independent adults and active community contributors.

Key Responsibilities:
  1. Manage the school's budgeting process and financial operations, including budget exercises, expenditure tracking, and asset management, in accordance with organizational guidelines.
  2. Oversee procurement processes to ensure compliance with organizational policies.
  3. Implement efficient financial controls for expenditure and payment collection.
  4. Supervise petty cash and debit card accounting.
  5. Oversee accounts payable and receivable, as well as invoicing processes.
  6. Manage cash funds, such as collections.
  7. Collaborate closely with the organization's Finance Department.
  8. Handle Netsuite billing and related matters.
  9. Manage procurement processes via TenderBoard and conduct post-program/vendor reviews.
  10. Supervise the admin team to ensure sound and efficient processes, complying with licensing requirements and corporate governance standards.
  11. Oversee general office workflow and implement ICT solutions to boost productivity.
  12. Maintain and update data and files, ensuring secure and accessible storage for staff.
  13. Ensure timely submission of reports to MOE, MSF/SG Enable, NCSS, and MINDS HQ.
  14. Perform duties as Fixed Assets Manager, including asset checks and management of store condemnation.
  15. Oversee inventory management and ensure adequate supplies.
  16. Manage student enrollment, information, and assistance schemes, including health, dental, and transportation support.
  17. Handle textbook and uniform matters, and manage student administrative processes.
  18. Provide administrative support for the school canteen.
  19. Supervise and mentor Admin Executive and Clerical Officers, including performance guidance and support.
  20. Prepare and review reports, and work collaboratively with staff to improve administrative efficiency.
  21. Manage staff data, incidents, insurance claims, and engagement of relief teachers and instructors.
  22. Conduct induction sessions and staff briefings on administrative matters.
  23. Perform other duties as assigned by the Reporting Officer.
Qualifications:
  • Bachelor's degree in a relevant discipline.
  • At least 3 years of management, finance, procurement, or operational leadership experience is preferred.
  • Strong interpersonal, organizational, and communication skills, with leadership qualities.
  • Good people management skills.
  • Experience in community care sector is an advantage.
