Job description

We are seeking a highly organised and proactive Administrative Manager to oversee and manage key administrative functions within our organisation. This is a leadership role that requires attention to detail, excellent communication skills, and the ability to manage multiple responsibilities in a fast-paced environment.

Responsibilities:
  1. HR
  2. Perform daily checks on workers' attendance and ensure timely approval.
  3. Maintain up-to-date employee records and documentation.
  4. Update new employee data into the app portal.
  5. Keep track of employee overtime.
  6. Monitor and verify employee attendance and working hours.
  7. Check the daily attendance tracking system for accuracy and timely submission.
  8. Generate and submit regular workforce attendance and productivity reports to management.
  9. Apply for employee MC and AL through the app portal.
  1. Operations
  2. Submit staff expenses and petty cash claims.
  3. Prepare monthly integrated Facilities Management (IFM) schedules for sites.
  4. Consolidate inspection reports and supporting documentation for invoice processing.
  5. Assist with data submission for sustainability reporting.
  1. Procurement Oversight
  2. Manage procurement of office supplies, equipment, and services.
  3. Develop and maintain relationships with vendors and suppliers.
  4. Ensure purchases are cost-effective, timely, and policy-compliant.
  5. Maintain accurate procurement records.
  1. Finance
  2. Ensure invoices are sent promptly to external customers, with supporting documents.
  3. Handle billing inquiries and email invoices to customers.
  1. Administrative Leadership
  2. Develop and implement administrative systems and policies for efficiency.
  3. Maintain and update department shared drives.
  4. Support audits, reporting, and compliance activities.
  5. Perform any ad hoc duties as assigned.
