We are seeking a highly organised and proactive Administrative Manager to oversee and manage key administrative functions within our organisation. This is a leadership role that requires attention to detail, excellent communication skills, and the ability to manage multiple responsibilities in a fast-paced environment.
Responsibilities:
- HR
- Perform daily checks on workers' attendance and ensure timely approval.
- Maintain up-to-date employee records and documentation.
- Update new employee data into the app portal.
- Keep track of employee overtime.
- Monitor and verify employee attendance and working hours.
- Check the daily attendance tracking system for accuracy and timely submission.
- Generate and submit regular workforce attendance and productivity reports to management.
- Apply for employee MC and AL through the app portal.
- Operations
- Submit staff expenses and petty cash claims.
- Prepare monthly integrated Facilities Management (IFM) schedules for sites.
- Consolidate inspection reports and supporting documentation for invoice processing.
- Assist with data submission for sustainability reporting.
- Procurement Oversight
- Manage procurement of office supplies, equipment, and services.
- Develop and maintain relationships with vendors and suppliers.
- Ensure purchases are cost-effective, timely, and policy-compliant.
- Maintain accurate procurement records.
- Finance
- Ensure invoices are sent promptly to external customers, with supporting documents.
- Handle billing inquiries and email invoices to customers.
- Administrative Leadership
- Develop and implement administrative systems and policies for efficiency.
- Maintain and update department shared drives.
- Support audits, reporting, and compliance activities.
- Perform any ad hoc duties as assigned.
