The Role
Provide secretarial services to the Director of Nursing (DON) and support the Nursing Administration Department in an administrative capacity.
Responsibilities
Manage Director of Nursing’s calendar
Schedule and coordinate meetings
Handle all correspondence/documents for approval/dissemination and follow up
Handle communication/enquiries/requests for information
Coordinate, despatch and file HR documents (resignation, transfer requests, contact reports, etc)
Coordinate, circulate, update and file nursing documents (e.g. Senior Nurse Leaders’ rosters/annual leave, Nursing Quality Assurance minutes)
Take minute for daily nursing huddle and monthly meeting
Track all action items arising from meetings
Assist nursing leaders in coordinating
Comply with Personal Data Protection Act (PDPA)
Manage general office administration
To perform any related duties as assigned or requested by DON
Co-ordinate, circulate, update and filing nursing documents
Requirements
Diploma (or equivalent) in Administration or Healthcare
At least 5 years secretarial working experience
Proficient in minutes writing
Good interpersonal and communication skills
People-oriented, flexible, adaptable and positive work attitude
