Overview

We are seeking a highly organized and friendly administrative executive cum receptionist to join our printing company. The ideal candidate will have at least 2 years of experience in office management, interfacing with customers and a strong ability to multitask. This person will be responsible for managing front desk operations, coordinating office administration tasks, and supporting daily business activities to ensure smooth operations.

Responsibilities
  • Greet and assist visitors, clients, and employees in a professional and friendly manner.
  • Answer, screen, and direct incoming calls and emails properly and promptly.
  • Handle incoming and outgoing mail, courier deliveries, packages, and documents.
  • Monitor production inventory and coordinate timely replenishment.
  • Liaise with vendors and service providers for repairing or maintenance work of office equipment and facilities.
  • Provide administrative support to the production managers.
  • Assist in invoicing and other simple finance related work.
  • Assist in updating customers about the status of their orders.
  • Handle ad-hoc tasks assigned.
Requirements
  • At least 2 years of experience in reception, administrative support or a similar role.
  • Strong organizational and multitasking abilities and able to prioritize tasks effectively with attention to detail and accuracy.
  • Good communication and interpersonal skills. Proficiency in Mandarin is a plus for communicating with Chinese customers.
  • Familiar with office equipment and software, proficient in using Microsoft Outlook.
  • Positive attitude and friendly personality.
