Our client is a publicly listed group with regional operations, looking for an energetic Administrative Executive (or Admin Lead, depending on experience) to be the backbone of their Singapore office. This is a role for someone who thrives on variety. From running the office, to supporting senior leaders, to keeping operations tight and compliant.

Why This Role Matters

You’ll be the go-to person for administration and business support, keeping the company’s engine running behind the scenes. Beyond day-to-day coordination, you’ll get exposure to senior leadership, regulatory processes, and corporate-level projects.

What You’ll Do
  • Office & Facilities: Manage tenancy agreements, coordinate service providers (cleaning, air-con, pest control), and ensure smooth office operations.
  • Executive Support: Provide admin support to management, handle scheduling, visitor hosting, and confidential documents; oversee expense claims.
  • Travel & Logistics: Arrange flights, hotels, ground transport, and itineraries for employees and executives.
  • Documentation & Compliance: Maintain accurate records, licences, and statutory submissions in line with corporate requirements.
  • Vendors & Finance Flows: Manage vendor contracts, collect invoices, and support PO/AP processes with Finance.
  • IT & Access: Liaise with IT for equipment setup, access rights, and onboarding/offboarding checklists.
  • Events & Comms: Organise internal events, launches, and team-building activities; draft announcements and support internal communications.
  • Bilingual Support: Translate between Mandarin and English for documents, contracts, and meeting materials when required.
What You Bring
  • At least 3 years of experience in administration, office management, or executive support (senior candidates may be considered for Admin Lead).
  • Organized, detail-oriented, and able to handle multiple priorities under pressure.
  • Proficient in Microsoft 365 and collaboration tools, with the curiosity to pick up new systems quickly.
  • Service-oriented, discreet, and comfortable interfacing with both internal teams and external stakeholders.
