Job summary

A leading company in building management is seeking an Admin Executive for West Mall to perform various administrative functions. Responsibilities include managing records, assisting with tender processes, and coordinating events. Candidates should possess a Diploma in Business and at least three years of relevant experience.

  • Experience in operations/retail industry is an advantage.

Job Description and Responsibilities of Admin Executive – West Mall

  1. Report to Manager, Building Management Services

  2. Perform administrative duties such as filing, managing courier service, preparing Contractual Letter of Awards

  3. Administer Car Park System and Season Parking Applications

  4. Assist in the administration of tender processes and records

  5. Assist in essential documents and certifications for Permit-To-Work approvals.

  6. Administer Purchased Request (PRs), Work/Sales Orders and Invoices

  7. Coordinate meetings, recording and circulation of meeting minutes

  8. Upkeep of Tenant’s Emergency Contact List and Ensure the maintenance of Tenancy filing and digital data records

  9. Manage West Mall’s BMS Digital Filing Architecture and records, keeping track of the expiry of term contract, licenses and insurances and the tracking of timely record of utility and revenue data

  10. Monitor monthly procurement documentation and update budget tracking records.

  11. Organize and coordinate department events such as Bi-annual Team Bonding lunch, annual Vendor Appreciate Lunch etc

  12. Assist in the communication of tenancy circulars for Fire Evacuation Exercise, building events, etc

  13. Any other duties that are assigned by the company from time to time


Job Requirements

  • Diploma in Business or equivalent

  • At least 3 years of working experience in administrative support (experience in operations/retail industry will be an added advantage)

  • Well versed in MS Office applications

  • Resourceful, meticulous and organised

  • Good written and verbal communication skills

  • Able to work independently and collaboratively as part of a team
