Job Description and Responsibilities of Admin Executive – West Mall
  • Report to Manager, Building Management Services
  • Perform administrative duties such as filing, managing courier service, preparing Contractual Letter of Awards
  • Administer Car Park System and Season Parking Applications
  • Assist in the administration of tender processes and records
  • Assist in essential documents and certifications for Permit-To-Work approvals
  • Administer Purchase Requests (PRs), Work/Sales Orders, and Invoices
  • Coordinate meetings, record and circulate meeting minutes
  • Maintain Tenant’s Emergency Contact List and ensure the maintenance of Tenancy filing and digital data records
  • Manage West Mall’s BMS Digital Filing Architecture and records, track expiry of contracts, licenses, insurances, and monitor utility and revenue data
  • Monitor monthly procurement documentation and update budget tracking records
  • Organize and coordinate department events such as Bi-annual Team Bonding lunch and annual Vendor Appreciation Lunch
  • Assist in communicating tenancy circulars for Fire Evacuation Exercises, building events, etc.
  • Perform other duties as assigned by the company
Job Requirements
  • Diploma in Business or equivalent
  • At least 3 years of administrative support experience (operations/retail industry experience is a plus)
  • Proficient in MS Office applications
  • Resourceful, meticulous, and organized
  • Good written and verbal communication skills
  • Able to work independently and as part of a team
