The Opportunity: We are looking for a proactive, highly organized, and detail-oriented Administrative Assistant to join our team. This multifaceted role will provide essential support across general administrative functions, project coordination, and comprehensive tracking. If you thrive in a dynamic environment, possess excellent communication skills, and have a keen eye for detail, we encourage you to apply.

Key Responsibilities:

  • General Administration:

    • Manage and organize physical and digital files and records.

    • Handle incoming and outgoing correspondence (emails, mail, calls).

    • Prepare and edit documents, presentations, and reports.

    • Maintain office supplies inventory and place orders as needed.

    • Assist with general office upkeep and ensure a professional environment.

  • Project Support & Coordination:

    • Assist project managers with various administrative tasks throughout project lifecycles.

    • Help in the preparation of project plans, schedules, and progress reports.

    • Coordinate project meetings, record minutes, and track action items.

    • Facilitate communication and information flow among project team members and stakeholders.

    • Organize and maintain project documentation.

  • Tracking & Reporting:

    • Develop and maintain tracking systems for various data points (e.g., project milestones, deadlines, budget expenditures, inventory).

    • Generate regular reports based on tracked data for management review.

    • Ensure data accuracy and integrity in all tracking systems.

    • Monitor progress against established goals and highlight potential issues.

    • Proficiency in Excel for data tracking.

Qualifications:

  • Proven experience in an administrative or support role, preferably with exposure to project administration.

  • Exceptional organizational and time management skills with the ability to prioritize effectively and manage multiple tasks simultaneously.

  • Strong attention to detail and accuracy.

  • Excellent written and verbal communication skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Ability to work independently with minimal supervision and as part of a team.

  • Proactive, resourceful, and a problem-solver.

  • High level of integrity and ability to handle confidential information.
