Job description

Job Summary

You will be based in a school environment, where you will support daily school operations by handling front desk duties, maintaining records, and assisting with various administrative tasks.

Responsibilities

Administrative Responsibilities

  • Maintain and update administrative records, including invoice tracking and documentation.
  • Perform data entry tasks and assist with collation, printing, filing, and statistical tabulation.
  • Handle general filing and organization of documents.

Front Desk & Customer Service

  • Manage front counter operations.
  • Screen phone calls and transfer lines appropriately.
  • Attend to walk-in students, parents, vendors, and other visitors.
  • Manage email correspondence received through the school's generic account.
  • Provide front desk coverage during the absence of the main admin assistant.

Student & School Support

  • Provide basic first aid support to students who are injured during school hours.
  • Handle student identity cards, GCE 'O' Level examination certificates, and School Graduation Certificates (SGC).
  • Assist in the preparation and execution of school events and activities.
  • Manage incoming and outgoing mail and deliveries, including proper record-keeping.

Communication & Interpersonal Skills

  • Use communication platforms (e.g., WhatsApp) to stay connected with school staff.
  • Possess a pleasant and professional demeanor, with the ability to build good rapport with parents.
  • Demonstrate courteous and well-mannered behavior in all interactions.

Requirements

  • GCE N- or O-Level qualifications preferred.
  • At least 3 years of relevant experience in a school environment, with a focus on customer service.
  • A strong team player who is well-organized and detail-oriented.
  • Able to multitask and manage a variety of administrative responsibilities effectively.
  • Possesses excellent communication and interpersonal skills.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).

Additional Details

  • Work Location: Haig Rd (East of Singapore)
  • Working Hours: Monday to Fridays: 9:00am to 3:30pm, (inclusive of a 30-minute lunch break)
  • Rest Days: No service required on Saturdays, Sundays, and gazetted public holidays.
  • Contract Duration: 1 May 2025 - 30 April 2026 (12 months)
  • Extension: Extension of up to one additional year may be considered, subject to the school's approval.
