Job description

We are seeking a motivated and detail-oriented Administrative Assistant to join our team and support the Condominium Manager in day-to-day operations and estate administration.

Key Responsibilities
Resident Relations & Communication
  • Handle and record feedback and complaints from residents and subsidiary proprietors

  • Support resident engagement and participation in estate events or activities

Financial & Administrative Support
  • Assist with petty cash handling and collection of payments from residents

  • Update trust accounts and issue receipts for maintenance contributions and deposits

  • Maintain records of office supplies and manage equipment maintenance schedules

Estate & Operations Management
  • Monitor attendance and performance of site staff, vendors, and contractors

  • Oversee the proper use of estate facilities in line with House Rules, By-laws and SOPs

  • Regularly update the estate’s notice boards

Compliance & Documentation
  • Assist in processing Section 47(1)(c) notices and updating strata roll upon transfer of ownership

  • Maintain proper filing systems for efficient documentation and administration

Meetings & Coordination
  • Coordinate and support council meetings and Annual General Meetings (AGMs)

  • Attend meetings and prepare minutes for official records

️ General Administrative Duties
  • Perform general administrative tasks as assigned by the Condominium Manager

  • Provide ad-hoc support to ensure smooth estate operations

Requirements
  • Minimum 1 -2 years of experience in administrative or property management roles

  • Good organizational and time-management skills

  • Strong communication and interpersonal abilities

  • Proficiency in Microsoft Office (Excel, Word, Outlook)

  • Experience in MCST or residential estate management is a plus

  • Able to work independently and within a team setting

Working Hours

5.5 Day Work Week (Work on alternate Saturday)
