Job Description

  • Supporting the overall operations of the office through general affairs and administrative work

  • Telephone and visitor reception (in both Japanese and English)

  • Handling incoming and outgoing mail and packages

  • Managing and ordering office supplies, stationery, business cards

  • Booking and setting up meeting rooms, supporting internal events

  • Managing contracts, invoices, and internal documents, including digitization

  • Basic accounting support (e.g., submitting and filing invoices)

  • Coordinating documents and email communication with the Japan headquarters

  • Making travel arrangements (flights, hotels, etc.)

  • Assisting with internal meeting scheduling

  • Supporting internal events and coordination

  • Liaising with external vendors for cleaning and facility maintenance

  • Assisting with desk setup and equipment arrangements for onboarding/offboarding

  • Preparing and displaying internal notices in both Japanese and English

  • Providing ad-hoc general support to managers/supervisors

  • Assisting with timesheet or attendance tracking, if required

Job Requirements

  • Minimum 5 years of work experience

  • Basic PC skills (Excel, Word, Email)

  • Native-level Japanese proficiency in order to communicate with Japan HQ and Japanese customers

  • Business-level English (required for internal and external communication)

  • Someone who is courteous, cheerful, detail-oriented, and responsible in their work

  • Experience collaborating across departments such as general affairs, accounting, and HR is an added advantage

Compensation

  • Working hours: Monday to Friday, 9:00 AM - 5:40 PM

  • AWS

  • Fixed transportation allowance

  • Annual Leave: Minimum 14 days - *1 additional day granted for each year of service, up to a maximum of 21 days
