Job description

We’re looking for a sharp, highly organized Administrative Assistant to support the Advertising Team based in our Singapore office. This role supports a senior leader who operates across a wide geographic footprint, with direct oversight of teams across APAC.

You’ll be a key partner in keeping the team focused, connected, and moving forward—often acting as the glue between functions, time zones, and priorities. This isn’t a traditional admin role: it requires judgment, discretion, curiosity, and a proactive mindset. You’ll need to be comfortable with ambiguity, able to zoom out and see the bigger picture, while also managing the small details that keep everything running smoothly.

What You’ll Do

  • Own complex calendar management for the regional Ads leads, with a focus on managing global and cross-functional priorities across multiple time zones

  • Coordinate international and regional travel, including agendas, bookings, visas, and itineraries

  • Manage key internal touchpoints: team offsites, leadership forums, and culture-building moments across the APAC region

  • Collaborate with other executive assistants across teams and geographies to drive alignment and support high-functioning team operations

  • Process expense reports, maintain distribution lists, and support internal communications

  • Handle ad hoc projects—building decks, org charts, simple analysis, and special initiatives that elevate the team’s impact

  • Anticipate needs and solve problems before they arise, often before being asked

  • Tech-savvy, with strong proficiency in Google Workspace (Docs, Calendar, Meet, Slides, etc.)
