We are looking for a highly organized and detail-oriented Admin Executive to support a wide range of administrative, HR, and accounting functions. This role requires multitasking across key business processes such as payroll support, work pass administration, government claims, invoicing, and general office operations. The ideal candidate will demonstrate strong integrity, discretion, and a proactive approach to problem-solving.
Key Responsibilities:
Human Resources & Office Administration:
- Assist in keying timesheets and supporting payroll preparation.
- Submit CPF contributions and handle IR21 (tax clearance) filing for foreign employees.
- Administer government-related claims:
NS Make-Up Pay
Government Paid Leave (GPL)
Foreign Worker Levy (FWL) Waiver
Other available grants and reimbursements - Manage Corppass user access and maintenance.
- Handle Work Pass applications, renewals, and cancellations via WPOL and EPOL.
- Coordinate and track annual leave and employee attendance.
- Identify staff training needs and manage course enrolments.
- Manage insurance policies renewals and claims submission (e.g. medical, work injury).
- Perform general office administration and support ad-hoc tasks as needed.
Accounting & Finance Support:
- Prepare and assist in journal entries and month-end closing activities.
- Generate and issue sales invoices, ensuring accuracy and compliance.
- Maintain accounts receivable ledger, tracking payments and aging reports.
- Manage accounts payable, including data entry, invoice processing, and payments.
- Liaise with suppliers and subcontractors regarding payment and billing issues.
- Perform creditors’ reconciliation and resolve discrepancies.
- Prepare and process payments in a timely manner.
- Support any ad-hoc accounting duties as required.
Requirements:
- At least 2 years of experience in a similar administrative support role.
- Familiarity with Singapore statutory requirements (CPF, IR21, WPOL, EPOL, Corppass).
- Proficient in Microsoft Office (especially Excel, Word, and Outlook).
- Experience with accounting systems is advantageous.
- Strong organizational, communication, and problem-solving skills.
- High level of discretion when handling sensitive and confidential information.
- Able to manage multiple responsibilities with minimal supervision.
