Job description

The Role

As an Administrative Assistant, you will play a key role in ensuring the smooth day-to-day operations of the office while supporting the HR team with essential tasks. This is primarily an administrative position, but you will also assist with HR-related activities such as recruitment coordination and internal communications. The ideal candidate is highly organized, proactive, and thrives in a fast-paced, people-oriented environment.

What You Will Do

  • Serve as the first point of contact by welcoming visitors and maintaining a professional reception area.
  • Handle inquiries from employees and external parties in a courteous and efficient manner.
  • Manage meeting room bookings and ensure rooms are prepared with necessary equipment and materials.
  • Receive, sort, and distribute mail and package deliveries.
  • Maintain office and pantry supply inventory, placing orders as needed.
  • Track office expenses and support timely processing of reimbursements and claims.
  • Assist with coordinating office events and activities, including internal meetings, team engagements, and wellness programs.
  • Support the recruitment process for intern roles, including job postings, resume screening, and interview scheduling.
  • Help draft and send internal communications, such as new hire, birthday, and event announcements.
  • Provide day-to-day administrative assistance to the HR team and other departments as required.

What We’re Looking For

  • A self-starter with strong initiative and the ability to work independently or as part of a team.
  • Highly organized with excellent attention to detail.
  • Clear communicator with strong interpersonal skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Skilled in multitasking and prioritizing tasks effectively.
  • Friendly, approachable, and professional demeanor.
  • Resourceful and solutions-oriented with a sense of urgency.
  • Prior experience or exposure to administrative or HR functions (internship or full-time) is an advantage.
