Job description

Position Title: Junior Admin Executive
Department: Administration
Work Location: HQ Office

Primary Role

To provide administrative support for HQ operations and assist the Managing Director in day-to-day coordination, scheduling, and office matters, ensuring smooth and efficient workflow.

Key Responsibilities

1. Office Administrative Support

  • Handle general office administrative tasks, including filing, documentation, and record keeping.
  • Coordinate procurement and replenishment of office supplies and stationery.
  • Assist in arranging corporate gifts, company souvenirs, and related orders.
  • Liaise with vendors and service providers for office-related requirements.

2. Managing Director Support

  • Arrange, confirm, and coordinate meetings for the Managing Director.
  • Maintain and update the Managing Director’s schedule/calendar.
  • Send reminders for upcoming meetings, deadlines, or important events.
  • Prepare meeting materials, take meeting minutes, and distribute notes to relevant parties.

3. Event & Coordination Support

  • Assist in organizing corporate events, staff gatherings, and company functions.
  • Coordinate logistics for meetings, presentations, or visits.

4. General Administrative Duties

  • Handle incoming calls, emails, and correspondence as required.
  • Maintain confidentiality of sensitive company and management information.
  • Undertake any other administrative tasks or ad-hoc duties assigned by the immediate superior or the Managing Director.
