Job description

Acorn is looking for a proactive, responsible and efficient individual who is able to manage, prioritise and fulfil his/her duties in a fast-paced environment.

DUTIES AND RESPONSIBILITIES

Duties assigned to Admin Staff from time to time, including but not limited to the following:

  • Compose and type routine and confidential correspondence, reports and other complex documents;
  • Organise and maintain file system; files correspondence and other records;
  • Coordinate manager’s schedule and make appointments;
  • Develop appropriate systems, procedures and controls to enhance the accuracy, timeliness and presentation of the executives’ work in their managerial and management reporting function.;
  • Liaise with internal and external clients, on behalf of manager;
  • Arrange and coordinate complex travel schedules and reservations, compile documents for travel-related meetings, and accompany supervisor when requested;
  • Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities, and records and transcribe minutes of meetings;
  • Conduct research, compile and generate statistical reports; maintain database and spreadsheet files;
  • Prepare memorandums outlining and explaining administrative procedures and policies to staff, and monitor compliance (assisting compliance Manager);
  • Make minor administrative decisions relating to the interpretation of organisational policies and procedures;
  • Arrange programs, events or conferences by arranging for facilities and caterer, issuing information or invitations, coodinating speakers, and controlling event budget;
  • Read and route incoming mail. Locate and attach appropriate file to correspondence to be answered by manager;
  • Prepare outgoing mail and correspondence, including e-mail and faxes;
  • Answer and screen manager’s telephone calls and provides appropriate responses in their absence; arrange conference calls;
  • Greet and direct scheduled visitors to an appropriate area or person.
  • Make copies of correspondence or other printed materials; and
  • Order and maintain supplies, and arrange for equipment maintenance.
  • Retrieve Insurers documents from their Portal and distribute to Executive / Managers
  • E-filing of documents
  • Issue invoices to the system
  • Assist in sending out Statement of Accounts to clients
  • Reconcile Insurers Statement of Accounts
  • Maintain and update claims to the system
  • Provide administrative support to the Management and other staff

QUALIFICATIONS

  • Min GCE “N” level and above
  • Fresh graduates in insurance, law, engineering, business, finance, marketing from Poly, Universities or other tertiary institutions are welcome to apply.
  • Mid-career professionals from other industry who may wish to be fast tracked in insurance business are also welcomed

SKILLS & EXPERIENCE REQUIRED

  • IT Competencies: Zoom, Microsoft Office suite e.g. Word, PowerPoint, Excel, Teams
  • Team player
  • Training will be provided if no experience
