Job Responsibilities:

  • Assist with daily office operations, including answering phone calls, responding to emails, and handling mail and correspondence.
  • Maintain and organize filing systems (both electronic and paper) for easy retrieval of documents and records.
  • Schedule meetings, appointments, and events for team members, ensuring all logistics are managed efficiently.
  • Prepare documents, reports, and presentations as required by the department.
  • Take meeting minutes, ensuring accurate and timely distribution to the relevant stakeholders.
  • Assist with departmental projects and ensure tasks are completed on time.
  • Support claiming of expenses for department colleagues.
  • Perform other administrative duties and ad-hoc tasks as assigned by the supervisor.

Job Requirements:

  • Minimum diploma or equivalent required;
  • Fluent in English and Chinese due to the need to interact with stakeholders;
  • Prior experience in an administrative or office support role is advantageous but not required.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time management skills with the ability to handle multiple tasks simultaneously.
  • Excellent written and verbal communication skills.
  • Attention to detail and problem-solving abilities.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Discretion and confidentiality when handling sensitive information.
  • A proactive and positive attitude with a willingness to learn.
