Position Overview

As an Administrative Assistant, you will be a vital part of our daily operations — managing reception, handling general administrative tasks, assisting with billing, and performing light accounting work. You will also coordinate office matters to ensure our lawyers can focus on serving our clients.

Key Responsibilities

Client & Office Reception

  • Greet clients and visitors in a professional and welcoming manner.
  • Answer, screen, and route phone calls and handle general inquiries.

General Administrative Support

  • Perform filing, photocopying, scanning, and data entry.
  • Manage incoming/outgoing correspondence, courier arrangements, and mail distribution.
  • Maintain orderly and accessible office records and documents.

Billing & Light Accounting

  • Assist in the preparation and processing of legal invoices.
  • Key payments into the banking system and assist with basic bookkeeping tasks.
  • Maintain payment records and support month-end reconciliation.

Office Management

  • Monitor and order office supplies.
  • Coordinate maintenance and service needs for office equipment.
  • Assist with general administrative projects as assigned.
Qualifications
  • Diploma or equivalent.
  • Prior administrative experience (experience in a law firm or professional services setting preferred).
  • Basic knowledge of bookkeeping or accounting processes will be an advantage.
  • Strong organizational skills and attention to detail.
  • Good communication and interpersonal skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Able to handle confidential information with discretion and professionalism.
