A real estate development firm based in Singapore is looking for an experienced Front Desk Administrator to manage daily office operations, coordinate meetings, and provide administrative support to management. The ideal candidate should have at least 3 years of relevant experience, strong organizational skills, and the ability to communicate effectively. This role focuses on creating a positive first impression and assisting various departments as needed.

Job description
  • Assist with day-to-day administrative and front desk operations for the office.
  • Maintain the front desk area and meeting rooms in a tidy, neat, and orderly condition.
  • Coordinate the maintenance and supply of office equipment, such as copier machines, flower arrangements, corporate gifts, pantry supplies, stationery, and a recycling initiative etc.
  • Maintain postage records and franking credits, and arrange for courier services and mail distribution.
  • Managing calendars. Booking conference rooms and managing the audiovisual equipment.
  • Organise and schedule meetings and annual events, including logistics, luncheon arrangements, and gift arrangements during festive seasons.
  • Maintain and update records of complimentary car park tickets for visitors and guests.
  • Assist management members with insurance claims, if required.
  • Manage email communications and announcements to staff.
  • Providing backup assistance for our Chairman, CEO and COO.
  • Work with the Tea Lady in serving visitors and guests.
  • Provide administrative support to other departments when required.
  • Other tasks as and when required.
Front Desk Management
  • Manage the front desk to ensure a positive first impression for guests, answer and direct phone calls and emails to the appropriate departments.
  • Handling inquiries and forwarding calls
  • Maintain and update the meeting room booking diary and assist with booking meeting rooms as needed.
  • Attend to visitors and prepare meeting rooms for meetings
  • Set up the projector and liaise with technical support for meetings when required.
  • Ensure meeting rooms are neat and tidy after use.
  • Other tasks as and when required.
Requirements
  • At least 3 years of working experience in a similar capacity
  • Able to communicate well
  • Minimum GCE “O” level and above
  • Independent, positive, mature mindset and able to demonstrate strong teamwork skills.
