Job description

We’re seeking a proactive and organized administrative executive to support our local team and headquarters in Japan. You'll handle translation, cross-border coordination, and general office administration—ensuring smooth communication and workflow across English, Japanese, and Chinese channels.

Key Responsibilities
  • Translation & Interpretation
    Translate documents and correspondence (e.g. emails, reports, meeting notes) between Japanese, Chinese (Mandarin), and English
    Support verbal interpretation in meetings or calls with Japan HQ and local team
  • Cross-Regional Coordination
    Act as a communication bridge between our Singapore office and Japan HQ
    Schedule and organize cross-border meetings, calls, and travel arrangements
    Liaise with external vendors and service providers in Japanese and Chinese as needed
  • Office & Project Support
    Maintain organized multilingual filing systems and document controls
    Assist with general admin duties: booking travel/accommodation, preparing materials for internal/external events
    Support team projects, including preparing presentations, compiling data, and coordinating with internal stakeholders
Required Qualifications
  • Fluent in Japanese, Mandarin Chinese, and English, both verbal and written due to needs to communicate with different stakeholders from different countries (to handle queries and feedbacks from Japanese speaking associates/ clients)
  • Strong administrative and organizational skills, with proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Excellent attention to detail, multitasking ability, and ability to work independently
  • Minimum Diploma or equivalent qualification; 2+ years of relevant administrative experience, especially in multilingual/Asia-Pacific settings
  • Experience liaising with overseas HQs or working within cross-border teams is a plus
