Administration Manager (Academic Institution)
Location: Kent Ridge
Job Type: 12-Month Contract (Renewable based on performance and business needs)
Working Hours: Monday to Friday, 9:00 AM – 6:00 PM
Monthly Salary: Up to $5,000 (commensurate with experience and qualifications)
About the Role
We are looking for a proactive and highly organized Administration Manager to support the operations of an academic institution’s programme office. This role plays a key part in managing placement programmes, project coordination, stakeholder engagement, outreach activities, and administrative support. The ideal candidate is someone who is adaptable, detail-oriented, and experienced in managing multiple responsibilities in a dynamic environment.
Key Responsibilities
Project & Programme Administration
- Assist in the administration of placement initiatives, such as Career Conversion Programmes and related manpower development schemes.
- Support programme implementation for various organizations including MNCs, SMEs, and Trade Associations & Chambers.
- Conduct onboarding for participating companies and individuals, track programme outcomes, and handle grant disbursement processes.
- Manage Capstone Projects by coordinating with industry partners, academic leads, and students, while ensuring key timelines and deliverables are met.
- Organize and support events related to Capstone Project presentations and industry engagement.
Secretariat and Administrative Support
- Provide secretarial support for internal programme operations, including meeting coordination and general reporting.
- Liaise with internal departments such as HR and Finance on relevant administrative processes.
- Maintain and update programme-related databases and compile statistics for internal use and government reporting.
- Support the overall coordination and execution of placement-related administrative tasks.
Outreach & Stakeholder Engagement
- Assist in planning and executing outreach activities to engage companies and industry bodies.
- Collaborate with government agencies and training providers to promote career opportunities and support upskilling for job seekers.
- Work closely with educational institutions and partners to source relevant training programmes and secure funding support.
Marketing & Publicity Coordination
- Coordinate with the marketing team to create outreach materials and campaign content.
- Support awareness and marketing efforts for placement-related programmes targeting both individuals and organisations.
Requirements
Qualifications & Skills
- Bachelor’s degree in any discipline from a recognized institution.
- Proficient in Microsoft Office and Adobe applications; familiarity with Power BI is a plus.
- Minimum 3 years of experience in office administration or secretariat support.
- Organized, detail-oriented, and capable of managing multiple priorities.
- A strong team player who can also work independently in a fast-paced setting.
