Job Summary:
We are seeking a proactive and detail-oriented Administration Manager to lead and oversee all administrative operations in a dynamic machinery moving and logistics environment. The ideal candidate will ensure smooth day-to-day back-office operations, support project teams, manage documentation, liaise with clients and authorities, and drive process improvements.

Key Responsibilities:
1. Office & General Administration
• Manage daily office operations, supplies, IT support coordination, and facilities maintenance.
• Oversee administrative team and ensure proper filing, documentation, and correspondence.
• Maintain and update company licenses, insurances, and certifications (e.g., bizSAFE, MOM permits).
2. Project & Operations Support
• Prepare and maintain documentation for machinery moving projects (e.g., lifting plans, risk assessments, permits).
• Assist project managers in coordinating site access applications and safety compliance submissions.
• Coordinate with engineers, drivers, crane operators, and clients for scheduling and documentation.
3. Any Other responsibilities and scope that is relevant or equivalent for a Administrator Manager position.

Requirements:
• Diploma or Degree in Business Administration, Logistics, Engineering, or relevant field.
• At least 5 years of administrative experience, preferably in construction or logistics industry.
• Strong organizational and multitasking skills.
• Proficient in Microsoft Office Suite (Excel, Word, Outlook).
• Experience with MOM/WSHC compliance and permit applications is a strong advantage.
• Good communication skills in English (spoken and written). Ability to communicate in Mandarin or dialects is a bonus for liaising with site staff.
