Job description

Responsibilities:

  • Serve as the first point of contact for associates, customers, vendors, and guests.

  • Support employee resource needs, including managing access requests, providing directions and local amenity information, and assisting with parking.

  • Ensure front-of-house areas are presentable and that meeting rooms are always ready.

  • Manage phone support for the site and regional queues, visitor check-ins, and badge administration.

  • Provide support for regional programs and initiatives.

  • Drive office services and workplace initiatives to enhance the employee experience.

  • Manage logistics including incoming and outgoing parcels.

  • Handle associate badge processes, including taking photos and printing/distributing new badges.

  • Ensure compliance with health, safety, and environmental policies.

  • Monitor the workplace and equipment for optimal functionality.

  • Manage ticketing systems, including triage and updates for both local and global queues.

  • Coordinate internal communications, building notices, and manage office mailing lists.

  • Support office events, cross-functional meetings, and social activities.

  • Maintain site information on internal platforms, including contact details, access protocols, and emergency procedures.

  • Oversee space management, seating assignments, and workspace setup.

  • Collaborate with security teams to ensure adherence to company security standards.

  • Support local team leads in completing operational tasks and site-related projects.

Finance:

  • Assist with tracking invoices and expenses.

  • Create, receive, and manage purchase orders.

  • Oversee payments for rent, utilities, and operational costs.

  • Manage vendor relationships, including selection, quality control, contract reviews, and serving as the on-site point of contact.

Requirements:

  • Bachelor’s Degree in Business Administration and/or related field.

  • 5 years of relevant experience in a related capacity.

  • Excellent interpersonal and communication skills.

  • Highly motivated, independent, and able to work in a fast-paced environment.

  • Organized, with strong time management and coordination skills.

  • Proficient in Google Workspace and other common business productivity tools.
